Mail guides
Triostack Mail gives your team professional email on your own domain (you@yourcompany.com), shared inboxes for addresses like support@, sales@, and billing@, and a built-in calendar — with the sender's CRM deals and support tickets shown beside the message.
The Free plan covers up to 3 mailboxes on 1 custom domain with basic spam filtering. Starter adds shared inboxes and the calendar (up to 25 mailboxes); Business adds the CRM context panel, advanced spam and security filtering, and unlimited mailboxes; Enterprise adds unlimited domains.
Before you start
- A domain you own, and login access to the place its DNS is managed (your domain registrar or DNS host).
- The list of people who need a mailbox, and the shared addresses (support@, sales@) you want.
- If you're switching providers: access to your current mailboxes so existing email can be brought over.
1. Add and verify your domain
Add the domain you want to send from. You'll be shown the DNS records to add at your registrar — typically MX records so mail for your domain is delivered to Triostack Mail, plus authentication records (SPF, DKIM, and DMARC) that prove messages really come from you and keep them out of recipients' spam folders. DNS changes can take a while to propagate, so verification may not be instant.
2. Create mailboxes
Create an individual mailbox for each person. Mailboxes are tied to TriostackOne identity, so each person uses the same account they use for every other app, with single sign-on and shared roles — and removing someone from the workspace removes their mail access too.
3. Set up shared inboxes
On Starter and above, create shared inboxes for team addresses such as support@, sales@, or billing@. The team can assign emails to a teammate, snooze them, resolve them, and leave internal notes — instead of forwarding threads around or replying twice.
4. Migrate existing email
If you're moving from another provider, plan the switch so nobody loses history: create the mailboxes first, bring over existing email, and switch your MX records last so no incoming mail is missed during the move. Contact the team for help planning a company-wide migration.
5. Schedule with the built-in calendar
On Starter and above, book meetings and share availability without leaving your inbox or switching to a separate calendar app.
6. Work with CRM context
On Business and above, the CRM context panel shows the sender's CRM record, open deals, and support tickets next to every email — so sales can reply to a prospect with the deal in front of them, and support can see an account's history before answering.
7. Turn support email into tickets
Connect a shared inbox such as support@ to Triostack Desk and inbound emails become tickets automatically, with SLA tracking and escalation. Built-in spam, phishing, and malware filtering protects every mailbox.
Best practices
- Set up SPF, DKIM, and DMARC together — missing any of them is the most common reason business email lands in spam.
- Use shared inboxes for any address more than one person answers, so customers always get a reply even when someone is away.
- Lower your DNS records' TTL a day before switching MX records to make the cut-over faster.
