Wabiz guides
Triostack Wabiz turns your WhatsApp Business number into a team channel. Multiple agents reply from one number without sharing a phone, broadcasts reach opted-in contacts, no-code flows answer questions and qualify leads, and new chats can become CRM leads or Desk tickets automatically.
Wabiz starts with a 2-day free trial covering one WhatsApp number, up to 3 users, and the shared team inbox. Chat flows, unlimited broadcasts, and CRM and Desk sync are on the Business plan; multiple WhatsApp numbers are on Enterprise.
Before you start
- A Meta Business account with admin access, and the phone number you want to use for WhatsApp Business.
- A list of the agents who will answer chats.
- Contacts who have opted in to receive WhatsApp messages from your business, if you plan to send broadcasts.
1. Connect your WhatsApp Business number
Wabiz connects through WhatsApp Business messaging and automation on Meta's platform. Connect the number your customers already message or a new one for your team. Once connected, the number belongs to the team rather than one person's phone — conversations stay with the business when people change roles or leave.
2. Add agents to the shared inbox
Add the people who will handle conversations. Every incoming chat lands in the shared inbox, where it can be assigned to an agent so it's clear who is replying. Everyone works from the same number, from any device, so customers see one consistent business identity no matter who answers.
3. Prepare message templates
WhatsApp requires Meta-approved templates for business-initiated messages — anything you send to start a conversation, and anything sent outside the 24-hour window after the customer's last message. Within that window, agents can reply freely. Create templates for your common updates (order confirmations, appointment reminders, offers) and submit them for approval before you need them.
4. Build automated chat flows
On the Business plan, use the no-code flow builder to answer frequent questions — opening hours, pricing basics, order status — and to qualify leads by asking for details like name, city, or requirement before a human joins. A well-built flow resolves simple questions instantly and hands agents conversations that are ready to act on.
5. Send broadcasts to opted-in contacts
Broadcasts send an approved template to a targeted list of opted-in contacts — useful for offers, reminders, and announcements. The Business plan includes unlimited broadcasts. Keep lists to people who have agreed to hear from you; messaging people who haven't opted in leads to blocks and reports, which hurts your number's standing with WhatsApp.
6. Send order and appointment updates automatically
Use utility templates for transactional messages such as order confirmations and appointment reminders, so customers get timely updates without anyone typing them manually.
7. Sync conversations to CRM and Desk
On the Business plan, turn on CRM sync so new WhatsApp conversations create CRM leads automatically, ready for follow-up in the pipeline. Turn on Desk sync to route support conversations into the shared ticket queue, where they're handled alongside email and chat with SLA tracking.
8. Track messaging performance
Messaging analytics show response times, reply rates, and conversation volume, so you can see which broadcasts work, where customers are waiting, and when you need more agents online. Enterprise adds advanced automation and analytics.
Best practices
- Write templates the way you'd text a customer: short, specific, with one clear next step.
- Set a response-time target for the team and check it in analytics weekly — speed is what customers notice most on WhatsApp.
- Let flows handle the first two or three questions, then hand over to a person. Long bot conversations frustrate customers.
- Always make it easy to opt out of broadcasts, and remove people who do.

Frequently asked questions
Can several agents use one WhatsApp number at the same time?
Yes. That's the core of Wabiz — multiple agents reply from one WhatsApp Business number through the shared inbox, without sharing a phone. The trial supports up to 3 users; Business and Enterprise support unlimited users.
Can I use more than one WhatsApp number?
Multiple WhatsApp numbers are available on the Enterprise plan. The trial and Business plans use one number.
How is Wabiz different from the WhatsApp features in Triostack CRM?
CRM includes WhatsApp contacts, templates, a shared inbox, and automation triggers tied to CRM events like new leads and invoice reminders. Wabiz is the dedicated WhatsApp product: it adds no-code chat flows and broadcasts, and routes conversations to both CRM and Desk — useful for teams that run support as well as sales on WhatsApp.
Why do some messages need an approved template?
WhatsApp's rules require Meta-approved templates for messages a business sends to start a conversation or outside the 24-hour window after the customer's last message. Replies inside that window don't need a template.
